1. Scope

These terms cover the website htools.gr and describe the basic rules for using the HTools – Hotel tools service. The platform is intended for the professional operation of hotels and use by their authorised users.

The commercial proposal and the organisation's contract set out the specific services, fees, term, support and obligations of the parties. These terms do not replace those agreements and do not by themselves constitute a subscription order.

2. Description of the service

HTools offers fault management, preventive maintenance, housekeeping, ad-hoc requests, inventory, Smart Scan QR, communication and reporting. The features provided to each organisation depend on the installation, licence, version and agreed configuration.

The illustrative images, counters and examples on the website show how things work. They are not real customer data, a measured performance guarantee or a commitment to a specific look for every installation.

3. Demo and quote requests

The contact form is used to review your needs and for the HTools team to contact you. Submitting it is not a purchase, acceptance of a price or automatic activation of a service.

Provide accurate details and submit requests only for yourself or a business you are entitled to represent. The personalised quote sets out price, any taxes, payment method, term, renewal and specific terms. The website does not guarantee a specific response time unless one has been agreed.

4. Accounts, permissions and organisation

Access to the operational platform requires authorisation from the organisation and active access to the installation. Every user must protect their login details and inform the administrator if they suspect unauthorised use.

The organisation manages staff accounts, properties, roles and assignments. Having access to a screen or a QR code does not grant the right to actions the system has not allowed.

Logging, accepting, carrying out and completing tasks must reflect real actions. Receiving a notification is not the same as accepting or carrying out a task.

5. Permitted use

Use the service for lawful purposes and within the permissions you have been given. The following are not allowed:

  • Attempts at unauthorised access or bypassing permissions and licensing.
  • Interfering with security, malicious files or use that disrupts operation.
  • Entering unlawful content or personal data without a legitimate need and right.
  • Misleading task records, sharing passwords or using someone else's account without authorisation.

The platform is a coordination and documentation tool. It does not replace professional judgement, technical instructions, mandatory inspections or the hotel's emergency procedures.

6. Mobile app and external integrations

Mobile operation depends on a compatible device, operating system, app version, permissions and network. Selected offline actions are supported where provided; this does not mean all features are available without a connection.

Push notifications, Telegram and browser alerts also depend on third-party providers or device settings. The absence of a notification does not remove the need to check tasks in the platform.

PMS integrations require appropriate credentials and API permissions. What can be read and sent varies by provider, and a full two-way connection should not be assumed just because the provider's name appears in the settings.

Staff location may only be used with the required notice and the organisation's legal conditions met. Links to external websites are also governed by the terms of the respective providers.

7. Data and privacy protection

The organisation's data does not become the property of HTools because it is entered in the platform. The organisation must have the right to use the content and give appropriate instructions for its processing.

The processing of personal data is described in the Privacy Policy and, where applicable, in the data processing agreement. Export, retention and deletion of data when the service ends are governed by the installation agreement and legal obligations.

8. Intellectual property

The HTools software, presentation, trademarks and content are protected by the rights of the provider and the respective rights holders. Third-party software and images may be covered by their own licences.

Access grants the right of use set out in the relevant agreement, not a transfer of the source code or a right to resell. This does not affect users' statutory rights or rights to content they have entered themselves.

9. Availability and liability

Maintenance or updates may be required, and interruptions may arise from infrastructure, network or third-party services. Specific commitments on availability, support, backups and recovery time apply only when included in the relevant agreement.

Open items, reports and indicators are based on the data entered and the definitions of each feature. They are not a guarantee of technical safety, an accounting audit or a standalone compliance certification.

The parties' liabilities are determined by the contract and applicable law. Liability that cannot lawfully be excluded is not excluded, and mandatory statutory rights are not limited.

10. End of access and changes

Ending or suspending access depends on the licence, account status and the organisation's contract. Users must not try to bypass access restrictions.

The website terms may be revised with a new update date. A change to this page does not by itself amend a contract already signed. Your specific agreement follows its own change and notification procedure.
